What You Will Do:

 

Reporting to the Vice Provost and Chief of Staff to the Provost, this position's responsibilities include performing a variety of professional and administrative duties that facilitate the day-to-day operations of the Provost's Office. This position is responsible for supporting the planning and execution of assigned projects, including managing the strategic action plan for the Provost's team, coordinating Provost's Office communications, and managing the Provost's calendar.









Essential Responsibilities






  • Coordinates the Provost's Team annual strategic priority projects, facilitating updates from all unit leaders within the Provost's team and organizing and maintaining strategic plan documents.  Provides project management assistance to team members as needed, helping with project scope, timing, analysis and reporting.  Provides regular reports to Provost and team on the progress of project objectives.
  • Manages all formal and informal Provost Office interactions with students, including the processing of academic appeals, student complaints, and student misconduct cases.
  • Supports the execution of multiple annual Provost Office processes, including application processes for Faculty Sabbaticals, Promotion and Tenure, Faculty Awards, the nominating process for Emeritus status, annual faculty letters of appointment, and faculty Performance Evaluations.
  • Serves as primary manager of the Provost's calendar, responsible for documenting meeting requests, scheduling meetings, and reporting to the Chief of Staff when scheduling conflicts require prioritization.
  • Works with the the Chief of Staff to help manage day-to-day budget transactions for the Provost's Office and supports routine reviews of budget-related reports (variance reports, etc). Serves as thought partner for Chief of Staff in analyzing budgets and seeking efficiencies and strategies to recommend to the Provost to maximize the strategic impact of the Provost Office's resources.








Qualifications






  • Bachelor's Degree or equivalent combination relevant education and experience relevant to this position
  • Minimum of 3 years of related and relevant experience
  • At least one year of experience in project coordination, planning, and/or management, demonstrating growth in managing increasingly complex and cross functional projects
  • Ability to interact professionally and tactfully with various people with different levels of education, cultural backgrounds, and life experiences
  • Proven experience working in collaborative teams and problem solving. Strong interpersonal, organizational, and communication (writing, speaking, listening) skills. Ability to maintain confidentiality while working on sensitive matters
  • Ability to work independently prioritizing tasks to meet deadlines while maintaining accuracy and attention to detail
  • Strong skills with Microsoft Office applications (particularly Word, Excel, PowerPoint, and Outlook)
  • Results Focus - Achieves results within established timelines. Understands and demonstrates that intentions, activities and results are not the same. Expects that obstacles will occur and refuses to use them as an excuse for not achieving results.
  • Problem Solving - Takes a proactive approach to anticipating and preventing problems. When problems occur, defines those problems, investigates obstacles, gathers relevant information, decides whether solving the problem should be a group decision, generates and analyzes alternate solutions and arrives at a workable solution.

Demonstrates this characteristic when it comes to generating new ideas or processes, capitalizing on new business opportunities, seeking out and taking on increasing responsibility or resolving problems as they occur. This is in contrast to those who fail to notice opportunities, wait to be asked or instructed before taking action, seldom offer new ideas or express reservations about taking on additional responsibilities.
