The Administrative Assistant to the Provost is responsible for providing a wide range of office, administrative, and clerical duties; coordinating academic events; supporting academic affairs projects; and maintaining basic accounting information for budget reporting to support the Provost's Office of Coker University. This position reports directly to the Provost.


PRIMARY DUTIES & RESPONSIBILITIES



  • Act as primary point of contact for academic inquiries via email, telephone, and in-person; answer routine inquiries and routes technical inquiries to the proper persons;

  • Coordinate appointments for the Provost as needed and communicate messages from the Provost to others on campus;

  • Establish and maintain the the documentation for the qualification of academic staff and faculty personnel files;

  • Coordinate academic events/programs (e.g. Opening Convocation, Honors Convocation, New Faculty Orientation, Adjunct Professional Development Day) and other special events that fall under the purview of the Provost's office;

  • Assist in preparing annual budgets, process bills and invoices for payment, oversee credit card reconciliation process;

  • Support the promotion and tenure documentation process;

  • Record minutes of the Academic Council and ensure that these are downloaded onto the current Learning Management Software;

  • Maintain the electronic storage of course syllabi;

  • Organize and communicate information regarding the Susan Coker Watson Scholarship to include the call for applications and the award and denial letters;

  • Prepare new faculty orientation schedule and information packets;

  • Create and maintain a shared sheet with HR regarding adjunct and faculty overload stipends;

  • Oversee office supplies as needed for Academic Affairs;

  • Maintain and update the Adjunct Faculty Handbook and the Faculty Handbook;

  • Supervise work study students;




QUALIFICATIONS



  • 3-5 years working experience in a similar administrative capacity where confidentiality, punctuality, and a detailed approach to tasks was expected;

  • Excellent verbal and written communication skills and professional telephone and email etiquette;

  • Exposure to, or experience in, an event planning environment;

  • Experience performing basic accounting functions;

  • Self-starter, flexible, and able to work independently;

  • Ability to multi-task and change priorities as needed;

  • Ability to adapt technologies to benefit office efficiency;
